Opportunity intake for consultants

Capture the decision context that turns a vague consulting inquiry into a useful first conversation.

Qualyo helps consultants build an explicit intake route for hard constraints and add optional AI judgment only where several answers need to be considered together.

The job to do

Consulting inquiries often describe a symptom but omit the decision, stakeholder, scope, and timing context needed to evaluate an engagement. A good intake makes those unknowns visible before proposal work begins.

What this workflow should make easier

01

A clearer opportunity brief

02

Earlier visibility into authority, scope, and timing

03

Consistent next steps before proposal work

02 · Workflow

Build the policy before the form

The form is the interface. The route brief, fallback, and endings are the operating decision.

  1. Step 1

    Describe the engagement boundary

Document the problems you address, minimum scope, delivery constraints, and the decisions a project requires.

    Output: An engagement brief

  2. Step 2

    Collect business context

Ask about the problem, impact, stakeholders, prior work, desired outcome, timing, and investment range.

    Output: A structured opportunity record

  3. Step 3

    Build explicit routes

Use fixed conditions for hard boundaries, then optional qualification for nuanced scope and urgency.

    Output: A readable opportunity graph

  4. Step 4

    Match the next action

Invite aligned inquiries to discovery, request missing context, share a resource, or close the route transparently.

    Output: A purposeful ending

03 · Question design

Ask only what changes review or routing

Q1

What business problem needs attention?

Identifies the issue without assuming the solution.

Q2

What is the cost or impact of leaving it unchanged?

Adds importance and urgency context.

Q3

What work has already been attempted?

Prevents repeating approaches without context.

Q4

Who owns the decision and who else is involved?

Makes authority and stakeholders visible.

Q5

What timing or deadline matters?

Surfaces delivery feasibility.

Q6

What investment range is available?

Sets a practical engagement boundary.

04 · Route map

Every answer path earns an ending.

Route 1

If: Problem, authority, scope, timing, and investment context align

Then: Discovery ending

The first call can examine fit instead of collecting basic facts.

Route 2

If: Potential fit but material context is missing

Then: Context-request ending

The prospect knows exactly what is needed before scheduling.

Route 3

If: Scope or timing is outside the practice

Then: Resource or referral ending

The response is useful without creating a false expectation.

What Qualyo covers—and where the workflow leaves Qualyo

Supported in Qualyo

  • Classic and one-question-at-a-time delivery share the same saved questions and routes.
  • Choice routing, Logic cards, Router cards, and ordered edges keep the decision path inspectable.
  • An optional AI Qualifier can evaluate earlier answers, with an explicit automatic fallback when AI is unavailable.
  • Every route can finish with a tailored ending, redirect, notification, or webhook workflow.
  • File-upload and drawn-signature questions collect supporting responses; each file is limited to 15 MB.

Boundaries to design around

  • Qualyo does not generate proposals, contracts, invoices, or managed signed-document workflows.
  • It has webhooks rather than advertised native CRM or project-management integrations.
  • Qualification output should inform a consultant’s review, not make a binding acceptance decision.

06 · Production checklist

Ship the route, not only the questions.

Preview both form modes, test the fixed path and AI fallback, and confirm that every ending says what happens next.

Questions about Qualyo for consultants

Can Qualyo collect a consulting brief before discovery?

Yes. Use text, number, choice, scale, date, email, phone, URL, and related answer types to collect structured context before routing.

Can the route check authority, timing, and budget?

Yes. Express hard boundaries with choices or Logic cards. Optional AI qualification can consider multiple earlier answers when the fit rule is genuinely contextual.

Does Qualyo write proposals or contracts?

No. Qualyo can collect a drawn-signature response, but it does not create proposals, contracts, managed e-signature workflows, or invoices.

Can a submission reach our existing systems?

Every plan can send complete submission data through a webhook. CSV export and unlimited notification recipients are also available on every plan.

Can I keep an intake process fully deterministic?

Yes. AI is optional. Choice routes, conditions, routers, and custom endings can define the whole process.

What happens if AI qualification is unavailable?

The Qualifier immediately takes the automatic qualify or disqualify fallback selected by the form owner. That fallback is visible and must be tested before publishing.
