Project inquiry for freelancers

Replace email back-and-forth with a compact project brief and a route you can review quickly.

Qualyo gives freelancers a template-led intake that can stay fully deterministic or use optional qualification while keeping every ending explicit.

The job to do

Independent professionals have limited time for administrative triage. A project inquiry should establish service fit, scope, budget, timing, and communication expectations without asking for a miniature proposal from the prospect.

01 · Useful outcomes

What this workflow should make easier

01

Less context-chasing by email

02

A repeatable brief for every inquiry

03

A clear path for fit, waitlist, referral, or decline

02 · Workflow

Build the policy before the form

The form is the interface. The route brief, fallback, and endings are the operating decision.

  1. Step 1

    Publish the boundary

Define services, minimum engagement, availability, timing, and any non-negotiable constraints.

    Output: A simple fit checklist

  2. Step 2

    Ask for a useful brief

Collect the project goal, deliverables, budget range, desired date, decision process, and relevant link.

    Output: A reviewable inquiry

  3. Step 3

    Route the obvious cases

Use fixed logic for service or minimum constraints. Reserve optional AI for interpreting open-ended project context.

    Output: A small route graph

  4. Step 4

    Close the loop

Offer a call, waitlist, availability update, referral, or resource so the prospect is not left guessing.

    Output: A transparent ending

03 · Question design

Ask only what changes review or routing

Q1

What are you trying to make or improve?

Captures the objective in the prospect’s words.

Q2

Which service best matches the project?

Checks alignment with the published offer.

Q3

What needs to be delivered?

Surfaces scope before a call.

Q4

What budget range are you working with?

Makes a central constraint visible early.

Q5

When do you need the work?

Checks availability and schedule feasibility.

Q6

Who will approve the work?

Clarifies feedback and decision ownership.

04 · Route map

Every answer path earns an ending.

Route 1

If: Service, scope, budget, and timing align

Then: Project-call ending

The inquiry is ready for a focused fit conversation.

Route 2

If: Project fits but availability does not

Then: Waitlist or alternate-date ending

The prospect gets a clear timeline instead of silence.

Route 3

If: Service or minimum boundary does not match

Then: Referral or resource ending

The route remains professional and useful.

05 · Product fit

What Qualyo covers—and where the workflow leaves Qualyo

Supported in Qualyo

  • Classic and one-question-at-a-time delivery share the same saved questions and routes.
  • Choice routing, Logic cards, Router cards, and ordered edges keep the decision path inspectable.
  • An optional AI Qualifier can evaluate earlier answers, with an explicit automatic fallback when AI is unavailable.
  • Every route can finish with a tailored ending, redirect, notification, or webhook workflow.
  • File-upload and drawn-signature questions collect supporting responses; each file is limited to 15 MB.

Boundaries to design around

  • Qualyo is not a project-management, invoicing, contract, payment, or general file-transfer platform; it can collect supported files as form responses.
  • A booking link is configured as an ending; there is no advertised native calendar connector.
  • The form should request only the information needed to review an inquiry.

06 · Production checklist

Ship the route, not only the questions.

Preview both form modes, test the fixed path and AI fallback, and confirm that every ending says what happens next.
