Candidate intake for recruiters

Collect consistent candidate context, then route every application to a transparent human-reviewed next step.

Qualyo gives recruiters structured questions, explicit administrative routes, private file uploads, tailored confirmations, and optional summaries while keeping selection decisions with recruiters and hiring managers.

The job to do

Resumes, inbox threads, and generic application forms leave recruiters reconstructing role interest, relevant experience, work samples, availability, and practical constraints. Candidate intake should make human review more consistent without turning an automated form or AI output into a hiring decision.

01 · Useful outcomes

What this workflow should make easier

01

A consistent candidate record before human review

02

Clear routing by opening, location, or working arrangement

03

A respectful next step for every submitted application

02 · Workflow

Build the policy before the form

The form is the interface. The route brief, fallback, and endings are the operating decision.

  1. Step 1

    Define job-relevant criteria

Write down the experience, work evidence, location, availability, and working-arrangement details that reviewers genuinely need.

    Output: A review brief

  2. Step 2

    Collect only necessary context

Ask candidates for role interest, relevant examples, optional work links or files, and practical availability without collecting unrelated sensitive details.

    Output: A focused candidate record

  3. Step 3

    Automate administration, not selection

Use fixed routes for openings, regions, or application completeness. Send candidate suitability to a recruiter or hiring manager for human review.

    Output: An explainable intake route

  4. Step 4

    Close the communication loop

Confirm receipt, explain the review timeline, request missing information, or offer another relevant opening without implying that a form made the hiring decision.

Output: A clear candidate next step

03 · Question design

Ask only what changes review or routing

Q1

Which role are you applying for?

Routes the application to the correct opening and review owner.

Q2

Which experience is most relevant to this role?

Gives reviewers job-related context in the candidate's own words.

Q3

What project or result best demonstrates that experience?

Surfaces concrete evidence without asking for a miniature work assignment.

Q4

Is there a work sample or public link you would like us to review?

Lets candidates add relevant evidence without making it mandatory for every role.

Q5

When would you be available to start?

Captures a practical timing constraint for the recruiter.

Q6

Which location or working arrangements can you support?

Checks an explicit role requirement while avoiding unrelated personal questions.

04 · Route map

Every answer path earns an ending.

Route 1

If: The selected opening and explicit location or working-arrangement requirements align

Then: Human-review ending

A recruiter receives a consistent application record and remains responsible for the decision.

Route 2

If: Required application context is missing

Then: Information-request ending

The candidate knows what to add before review continues.

Route 3

If: The opening is closed or another published role may be more relevant

Then: Recruiter-review or alternate-opening ending

Administrative routing stays transparent without making an automated suitability decision.

05 · Product fit

What Qualyo covers—and where the workflow leaves Qualyo

Supported in Qualyo

  • Classic and one-question-at-a-time delivery share the same saved questions and routes.
  • Choice routing, Logic cards, and Router cards keep administrative paths visible and inspectable.
  • Private file-upload questions can collect resumes or work samples; each file is limited to 15 MB.
  • AI summaries can help a reviewer scan submitted context, but the original answers remain available for human review.
  • Tailored endings, email notifications, CSV export, and webhooks support the handoff to a recruiting workflow.

Boundaries to design around

  • Qualyo is not an applicant tracking system, interview scheduler, background-check service, or reference-check platform; external systems are connected through ending links or webhooks.
  • Do not use AI qualification or summaries as the sole or automatic basis for advancing or rejecting a candidate. Keep consequential employment decisions under meaningful human review.
  • Recruiting, privacy, accessibility, notice, consent, and record-retention requirements vary. Form owners must choose lawful, job-relevant questions and review the workflow with qualified counsel where needed.

06 · Production checklist

Ship the route, not only the questions.

Preview both form modes, test the fixed path and AI fallback, and confirm that every ending says what happens next.

07 · Frequently asked questions

Questions about Qualyo for recruiters

Does Qualyo replace an applicant tracking system?

No. Qualyo can collect and route candidate intake, send notifications, export CSV data, and send webhooks. It does not provide an applicant pipeline, interview scheduling, background checks, or a native ATS integration.

Can candidates upload a resume or work sample?

Yes. File-upload questions store responses privately. Each file is limited to 15 MB, and a submission can include up to 10 files and 25 MB in total.

Should recruiters use AI to reject candidates automatically?

No. AI output should not be the sole or automatic basis for a consequential employment decision. Use fixed routing for explicit administrative details and keep candidate suitability under meaningful human review.

Can one form route applications for several openings?

Yes. A role-choice question can route each application to a tailored ending, notification, or webhook workflow. Keep the available roles and route owners current.

Can matching candidates receive an interview link?

An ending can link to an external scheduling page after the appropriate human-reviewed step. Qualyo does not currently advertise a native calendar or interview-scheduling integration.

How should a recruiter handle privacy and compliance?

Collect only job-relevant information, publish the notices and consent language your process requires, limit access to responses, and set an appropriate retention process. Requirements vary by location and role, so obtain qualified legal guidance for the workflow.
